Using The QuickBooks Screen

ITrack Chromium Tutorials - QuickBooks Online

The QuickBooks Screen is where you will go to sync the information between ITrack Chromium and your QuickBooks account. This information includes Customers, Vendors, Sales Orders, Part Types, Payments, Sales People, Store and Tax Items.

By default, the QuickBooks screen will display records inside ITrack Chromium. To view the records inside QuickBooks, click or tap on the QuickBooks radio button at the top. 

Previously synced records will be hidden. To view synced records, uncheck the Hide Synced checkbox. 

To quickly open QuickBooks Online, click or tap on the Open QuickBooks Online green outlined button. 

Overview Tab

The Overview Tab will display any alerts or messages in the Message Center section. You will also see the date and time that you last pushed records to QuickBooks Online. The Sync Status section will display the current number of records that are Synced, received errors or have been modified. 

Table Buttons and Icons

Each tab, other than Overview, will have basically the same buttons and icons.

To bulk Export the records you are viewing to QuickBooks Online, click or tap on the Export All Unmatched… green outlined button. 

To view what the icons in the table mean, click or tap on the blue ‘i’ button next to the bulk export button.

This will display all of the icons that can be used in the table and their meanings. 

To search for a specific record or to filter the list of records, use the Filter text box.

To select one or more records in the table, click or tap on the checkmark next to the ID column. 

To view the record in ITrack Chromium, click or tap on the View In ITrack button under the ITrack column. 

If a record has run into any issues while being exported, there will be a red Show Error button that will display the error message when clicked or tapped. There will also be a button to Fix In ITrack. Both of these buttons will be under the ITrack column.  

If a record has not been pushed to QuickBooks Online yet, under the QuickBooks column you will see a blue Match… button and green Export… button. The Match button allows you to match a record in ITrack Chromium to an existing record in QuickBooks online. The Export… button allows you to export just that single record to QuickBooks online.

If a record has been pushed successfully to QuickBooks Online AND you have QuickBooks selected towards the top, under the QuickBooks column in the table you will see a View In QuickBooks button. This will allow you to view that record in QuickBooks online.  

Customers Tab

The Customers tab will display a list of your customers. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of customers that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks. 

Sales Order Tab

The Sales Order tab will display a list of your sales orders. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of Sales Orders that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Part Types Tab

The Parts Type tab will display a list of your ITrack Chromium part types. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of part types that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Payments Tab

The Payments tab will display a list of your payments. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of payments that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Sales People Tab

The Sales People tab will display a list of your sales people. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of sales people that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Store Tab

The Store tab will display a list of your stores. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of stores that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Tax Items Tab

The Tax Items tab will display a list of your tax items. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of tax items that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.

Vendors Tab

The Vendors tab will display a list of your vendors. Depending on whether or not you have QuickBooks or ITrack selected towards the top of the screen, you will either see a list of vendors that have yet to be exported to QuickBooks/have received an error while trying to export or have already been exported to QuickBooks.
